AI employee memory and handover tools in 2026
Short answer
Partly. Capturing each person's AI and email activity is cheap and already sold in pieces (vendor compliance exports, AI gateways, email APIs), and Viven ($35M seed, Khosla) builds AI twins of each employee for large companies. No product we found turns AI-tool activity into a structured successor handover for small teams. The hard parts are rare use (few departures a year) and monitoring law: written consent and notice in New York, Connecticut and Delaware, impact assessments and works councils in the EU.
Key facts
- verifiedViven raised a $35M seed from Khosla Ventures and Foundation Capital in October 2025 to build AI digital twins of employees.
- verifiedSensay runs AI-led exit interviews in Slack and Teams and says over 200 companies use it.
- estimateChatGPT Enterprise's Compliance API holds conversation logs for about 30 days, so they must be exported continuously.
- verifiedHarmonic Security raised a $50M Series B on October 14, 2026 for employee AI-usage security.
- estimateThe EU AI Act's high-risk rules for systems that monitor or evaluate workers now apply from December 2, 2027.
Bottom line
The gap is partial, and it's in the handover, not the capture. Recording each person's AI and email activity is cheap and already sold in pieces: OpenAI, Anthropic, Microsoft and Google export employee AI chats on their top plans, AI gateways log every request per user for free to ~$800 a month, and email is a free API estimate. What nobody we found sells is a structured role file (what the person owned, open threads, how they handled recurring work, who they deal with) built automatically from AI-tool activity and handed to a successor, priced for a 20-person company inferred.
But a funded competitor is one feature away. Viven (Eightfold's founders, $35M seed from Khosla, Oct 2025) builds an AI "twin" of every employee from their email, documents, meetings and chats, with privacy controls, for large companies verified. Sensay sells exit interviews by AI that leave behind a queryable knowledge base, and claims 200+ companies verified. Microsoft and Google already hold the mailbox and the AI logs inferred.
The two hard problems: a 20-person company loses one or two people a year, so a handover-only product is used rarely; and recording employees' AI chats and email is regulated monitoring (consent and notice in NY, CT, DE; DPIA and works councils in the EU) estimate. What works: framing it as "role memory" people use every day, with handover as the payoff, and proving it inside one team before selling it.
1. Who already does part of it
| Company | What it captures | Per person? | Handover to successor? | Customer, price, funding |
|---|---|---|---|---|
| Viven | Email, internal docs, meetings, chat threads; teammates query each person's twin; "pairwise privacy", role-based access, audit trails; runs in customer cloud or on-prem verified | Yes | Pitched as keeping institutional memory "long after projects or personnel change"; what happens to a leaver's twin isn't stated verified | Enterprise (Genpact, Josh Bersin Co.); $35M seed Oct 15, 2025 verified |
| Sensay | AI interviewer ("Sophia") interviews leavers in Slack/Teams, plus documents verified | Per leaver | Yes, it's the product verified | Claims 200+ companies, 40% faster onboarding (vendor claims); pricing not public verified |
| ServiceNow HR | "Generate Offboarding Knowledge Transfer" workflow a manager triggers estimate | Per leaver | Yes | Large enterprise inferred |
| MemoryLake | Shared team memory reachable by AI tools over MCP; only holds what people write in verified | No | Partial; says it can't import a leaver's chat history verified | Unknown |
| Glean, Microsoft Work IQ | Company-wide search and work graph over email, docs, chat verified | Graph, not a role file | No packaged offboarding feature found inferred | Enterprise |
| Skan.ai, Mimica, Soroco | Screen and task mining to map processes estimate | Process, not person | No | Large banks and insurers; Skan $63M Series C estimate |
| Rewind / Limitless | Was personal screen and meeting capture | Personal | No | Bought by Meta Dec 5, 2025; desktop capture shut down verified |
What's open: (1) capturing from the AI-tool layer itself (prompts, outputs, agent actions), which Viven doesn't list as an input; (2) a structured successor handover rather than an interview bot or a Q&A twin; (3) companies of ~20 people, which every player above prices out inferred.

Can a company record employees' AI chats?
In the US, on company-controlled accounts and with written employee consent and notice (New York, Connecticut and Delaware require notice). In the EU it needs a legitimate-interest basis, a data-protection impact assessment and, in Germany, works-council approval. This is not legal advice.
What is an AI digital twin of an employee?
An AI model built from a person's work (email, documents, meetings, chats) that colleagues can query. Viven sells this to large companies with privacy controls and audit trails.
How do companies keep knowledge when employees leave?
Options include AI exit interviews (Sensay), offboarding workflows (ServiceNow), company search (Glean, Microsoft), and per-employee twins (Viven). A handover built automatically from AI-tool activity is still largely unserved for small teams.
